How families’ information is handled
Families tell their studio things they might not say at the front desk. This page describes how SARA treats what they share. It explains how the product works; it is not a contract or a privacy policy.
To families, it is the studio asking
- The survey email comes from the studio’s own address, with the studio’s name. SARA’s name does not appear in it.
- The survey page carries only the studio’s name.
- Families are told, before they answer and again on the page, that the studio will see their name with their answer. SARA never promises anonymity it could not keep.
- The survey is addressed to parents and guardians. There is no student login and no student app.
Nothing watching
- Survey emails contain no images and no tracking pixels.
- The survey page loads nothing from any other website: no outside fonts, scripts or analytics.
- Opening the link records nothing by itself; the score is saved by the page the family sees. Some mail programs open links automatically to check them, and SARA discards a score that looks like one of those checks rather than a parent.
Who can read what
- Each studio sees only its own families.
- The studio’s owner and admins can read what families wrote. Front-desk staff can work the call list, but the comments read
[restricted]for them. - Every time someone reads families’ comments, and every download of responses, is recorded with who and when.
- The owner signs in with two-factor authentication.
How it is stored
- What families write is encrypted where it is stored, so a copy of the database alone does not reveal it.
- SARA reads the family list your studio exports from its own software. It never writes back to that software.
- Families who have opted out of email in the studio’s software are not emailed, and addresses that bounce or report the email as spam are not emailed again.
- An owner can delete a single family’s response completely. A studio that leaves SARA can have its information returned as an export and then deleted.
What SARA never does
- No AI model reads, scores, summarizes or predicts from a family’s answer. The words on the screen are the words the parent typed.
- Families’ answers are shown only to the studio that asked.
- It does not combine one studio’s families with another’s.
